Communicating Proactively

Why it matters

Communicating proactively means telling people what they need to know before they have to ask. It's the cheapest way to look responsible, and most people don't bother.

If you're going to miss a deadline, the email the night before is how you get an extension. The excuse after is how you get a zero. If you're pushing for a change at school, regular updates keep the principal on your side. Surprises make people defensive.

It works the same way after graduation: bosses, roommates, anyone waiting on you.

Build stronger communication skills

  1. 1

    Give a heads up.

If something might go wrong, say so before it does: "I'm sick and might miss Thursday's quiz. Could I make it up Monday?"

38 characters. Short, and it says what and why.

    Hi Ms. Rivera,

I'm sick and might miss Thursday's quiz.

Could I make it up Monday?

    Thank you,
    Jordan Kim, 4th period

    1. What might go wrong, said early
    2. A specific fix you're offering
  2. 2

    Close the loop.

After a meeting or a deal, send a two-line recap of what you agreed and who's doing what: "Thanks! Just confirming the essay is now due Monday."

  3. 3

    Update before anyone asks.

Leading a group project? Text the group where things stand before someone has to ask.

  4. 4

    Say the hard thing, specifically.

"The last three tests covered material we hadn't practiced yet" gets a better response than "your tests are unfair." More on starting a tough conversation with a teacher.

  5. 5

    Pick the right channel.

Quick questions in person, anything someone needs to remember in an email, big decisions in a meeting.
